How do I schedule an appointment?

If you are interested in becoming a new client, please complete our New Client Form. Once you have submitted the form, our providers will review the information to determine who may be the best fit for you. Our administrative staff will then call you to help with next steps.

If you are a current client, you may schedule an appointment at any time by visiting the Client Portal or by calling our office. 

Do I need a referral?

No, we do not require referrals. 

Do you prescribe medication?

BASE providers do not prescribe medication, but we will work with your psychiatrist or other medical professional if you are taking medication.  If you are an existing client and you determine that you would like to pursue medication, your provider can work with you to provide a potential referral.

Are you available for crisis intervention?

No. If you are experiencing a true clinical emergency and need immediate assistance, please call the Mecklenburg County CriSys Crisis Response System (704-566-3410), call 911 (request a Crisis Intervention Team Trained Officer), or go to your nearest emergency room.

Can I choose my therapist?

If you have a specific therapist(s) you want to work with, you may request them when filling out the New Client Form. For a list of our providers and their specialties, please visit our Team Page.

Our providers will review the information to determine who they feel may be the best fit for you. If we do not feel that one of our providers will be a good fit for you, we will do our best to provide you with a suggestion of a provider in the community who will better fit your needs.

What happens in the first session?

Your first session involves a comprehensive assessment, typically scheduled for 60 minutes, to allow time to review personal and clinical history, administer assessment measures, and provide treatment recommendations. We will also determine whether we are the appropriate therapy provider for your needs. You will have the opportunity to ask questions and get a sense of what treatment will be like. Because therapy involves a large commitment of time, money, and energy, you should evaluate whether you feel comfortable working with us. We are always open to feedback and are happy to offer referrals to other mental health professionals upon request.

What are your office hours?

Our general office hours are Mon-Fri, 8:30 am to 5:30 pm; however, each provider has their own individual schedule. Appointments are scheduled on a first-come first-serve basis and we cannot guarantee after work/school hours. If you have specific questions, please contact our office. 

What is your cancellation policy?

Your appointment time is reserved for you, we do not double book. You are able to reschedule or cancel your appointment, on the client portal or by calling our office, with more than 24 hours’ notice without penalty. We offer appointment reminders as a courtesy, but this does not alter your responsibility. You will be charged the regular session fee if you arrive late for any sessions or completely miss an appointment. You will be charged a $175 fee for cancellations with less than 24 hours’ notice ($150 for postdoc fellows). Your credit card on file will be charged. We will waive one late cancellation fee per year due to unforeseen circumstances.

What are your fees?

Fees are charged by professional time. Our fee schedule has been established after careful consideration of what is fair based on the specialized services provided. This takes into account the experience, expertise, and additional training and certifications our providers have pursued as well as the customary fee in our geographic area. Initial intake sessions are typically scheduled for 60 minutes while regular sessions are typically 45 or 60 minutes, but scheduling is ultimately decided by your provider.

Do you accept insurance?

BASE providers do not participate in any insurance agreements and are excluded from managed care agreements (Medicare, Medicaid, and Tricare). We are considered “Out of Network” with all insurance providers. By choosing BASE, you are choosing to forego the use of in-network and managed care benefits for treatment. You agree not to file any claims with managed care, nor ask your provider to do so. If you are eligible for Medicare or become eligible for Medicare through the course of treatment at BASE, you must notify BASE in order to complete a private contract.

Why don't you accept insurance?

This decision allows us to make optimal treatment decisions regarding length and type of therapy without the limitations imposed by third party payers. Extended, more frequent, or intensive treatment services are rarely covered by insurance, but may be more cost-effective in the long run. You always have the right to obtain services from in-network or managed care providers.

How do I file for “Out of Network” reimbursement?

We provide appropriate documentation you can submit to your insurance. We are considered “Out-Of-Network” providers. You will have access to your invoices, on the client portal, with the proper codes for diagnostic category and type of service provided to submit to your insurance company. You will be reimbursed directly by your insurance company per the terms of your policy. Your insurance may not cover this therapy or may only cover a portion of the charges. Please contact your insurance company directly for questions about coverage (covered services, deductible, amount to be reimbursed, and pre-authorization). 

What are my payment options?

Payment is required at the time of service via credit card, cash, or check. You will be required to provide a credit card number to be kept on file for forgotten payments, missed appointments, and out of office appointments. If you do not provide a credit card, you may be required to prepay for your service upon scheduling. BASE accepts all major credit and debit cards, as well as Flexible Spending Account and Health Savings Account cards.
